IGCSE ICT Tutorial May June 2016 paper 2 Document Production



hello guys my name is Evans and I welcome to these another tutorial in ICT it's been a while I did a video solving an ICT passed paper but I thought now that the exams are just around the corner I thought of doing the June past papers I've had requests from self review of my channel posted and acid me to do videos for the June exam so in in the next few days I'm gonna be working on the June exam series I'll start with pepper too and then probably in the course of next week I'll do pepper 3 and I said that the June exam was very compact so to say because there are a lot of concepts that you guys had to do in a short period of time just to us 30 minutes but if you really understood from your studying and all this should have been a good pepper for you overall so I'm gonna break this video in about five or four pads depending with how long its segment is and then in this video in particular we'll be looking at judgment production and then who go to data manipulation then we'll go to presentation and oh okay so let's get a dive into document production okay so I did download the source files that I'll be needing for this newspaper so I'll put up this paper in my Dropbox and output may be a link under this video where you can find the source files and the question paper in case you want to work along the video okay so with that said let's go now into our work right so task number one okay so the scenario is that you work for a company called aura adventures you're going to perform some clerical tasks for this company and task one just deals with the evidence document so open the file Joanne six evidence dot RTF okay so I'm going to go to my folder I don't know why I keep them having to four doesn't make clothes that okay so then into my sauce far and then I'm going to open J 1 J 2 1 6 evidence which is this one just double-click on it and then enable editing and so this is my evidence document so I'll go back to the question paper and the eret ok good mmm says make sure that your name Center number and cut the number appear on every page of this document so what this is asking us is to insert a header or footer I love to insert a header blank three columns and then my name to Casa Evans and here the center number Z M 5 5 6 and the candid number as usual I'll go for 0 0 1 okay next step serve this F – document in your work area as j16 evidence followed by your candidate number for example J 2 1 6 evidence 9 9 9 9 so also the the other parts is that you need this dog evidence document to store screenshots of the evidence you are instructed to produce ok so the other thing guys that you should notice is that here we've not been told to save this as a Word document because this is this file is an RIT afar and we're working with it in a document processor document production processor or word processor let me say they the extension is a lot EF so we've not been asked to change the extension there would be certain questions that will ask you to save this file in the format of the weight of the application that we are using in this case you may need to know what is the extension for the application that you are using but in this case we are not taught to do that so you can go ahead and change the extension or you can save it as it is it's still fine okay so I'll save it as it is as RTF so go back here and just hit and save no I shouldn't have hit on save we need to save it as J 1 J 2 1 6 evidence don't I mean then the Condit number 10 so I'll go ahead and save as ok so don't just click on save otherwise we have destroyed the original evidence file but in this case is too fine ok so I'll just put the Condit number at the end there it was supposed to be candid number J 2 1 6 evidence Condit number so I'll just add 0 0 0 1 at the end then say save ok so next question or next step task 2 you're going to edit a newsletter for tower adventures the company uses a corporate house style for all their documents so paragraph style should be created and applied as instructed or imported data should have the news body style or textile applied unless otherwise instructed ok so step 1 using a suitable software package open the file z21 6 news drafts totality F so let's go back here news draft ok this is one here dot RTF you can see the extension here so just click on it and then enable editing and then let's go back to the question paper we are taught to set the page size to f4 page orientation to portrait and top and bottom margins to 2.5 centimeters and left and right margins to 1.5 centimeters let's go ahead and set that okay so I'll go and okay let's see it's been a while I did this so guys pardon me if I mix up here and there okay so mmm let's go back to the question paper let's see Pizza is 2fo so go on paper and sit let paper size to fo next set orientation to portrait portrait go to that city to portrait next set top and bottom margins to 2.5 and then left and right margins to 1.5 so top 2.5 bottom 2.5 as well and left 1.5 and 1.5 okay so what else okay so then we need just need to set to get an evidence okay to show the page size then we place it to the evidence document and then let's do that so let's get the page size go under paper get its print screen of this like I said in the other video guys am using the software called light shot to capture the screen shots as you can see I don't have to crop this screen like get the overall screen because the normal screen print screen from which comes with the operating system windows actually just captures the entire screen and then you have to go and crop out the rest of the stuff but light short only just allows you to take a print screen of the area that you are interested in so in this case I'm just interested in in the page setup window and so I can just go ahead and capture this one without really getting the other part of the work so just at the bottom here there are different ways that you can copy can copy this get a link to this which is going to be like a web link so someone clicks on that link they can go to this page or you can share it on social network you can compare it okay on Google and then you can also print it directly on to the printer and you can also copy it or you can save it okay so all these are the different features that you have so in this case that you want to make a copy of this so click on that and then just say ok and go to the evidence document okay so let's click on this one and then get my size passed there so guys I'm gonna have to pause the video because I have a pocket so as you can hear pregnant background my o-p-s is going on and off and OH so I don't know if I will be able to manage record for long with this so I'm gonna have to pause this and hibernate my computer so for the margin I guess yeah evidence don't take a screenshot to show the imagine setting place this in your evidence document so under evidence – then we can go ahead and do that so let me go back to the document in question so it's go to page setup and then go to margins and get this screenshot again so get it from here so then damn ok that's perfect I can say copy and then let's go to the evidence document so click OK here because you try to go to the evidence document without 3d like that you can go to it until you say ok here or cancel so let's go to it the if this document and paste it here as well so what you just need to do now is to resize these so that your evidence document is proper like you can see here I won't have an image for one and then there's here then there's this space there it's not so good so you can just resize it maybe like that then resize this one as well so that at least two screenshots can fit on on one page like that ok so just do that bit and evidence number 3 take it to the next page so you do have if it is 1 and evidence – ok all right so let's go back to the question paper for the next step step to save the document in your work area with filename newsletter make sure it is saved in the format of the software years and so this is what I was talking about now here this file that we're working with is an RTF file and then we need now to save it in the format of in the format of the software that we use in which is a document format so it's going to carry the extension dot docx okay so let's go ahead on file and then save us and then in your current folder give it newsletter as the name and then change the extension to a web document okay which is docx file and click on save and say ok ok so next step step 3 place in the header of your name Center number and condit number left aligned and then automated page number right aligned so let's go back here so in here we put in set and then head up blank 3 columns and you know I've always said you go for blank 3 columns because it's already aligned to the margins so get your name because Evans let's see I think Center number yeah Center number and candid number ok so Center number ZM 5 5 6 comma candid number 2 0 0 0 1 and then this one is going to be automated page number so go on select it then go on quick paths and then field and then select just hit P on your keyboard and then you see page then just be a pick an appropriate page number so pick up that so if you're not putting anything here don't leave this one as type here guys you need to be very careful here because markings ever I see two papers of 90 students leaving this part here because I mean for some reason maybe they in the exam they were not asked to add anything than so they just left it here type here so imagine you produce a document which is going to go for an organization and it carried something type here they would type what what are they going to type there so please have this removed so that it looks professional okay so let's go to our okay so place in the footer the automated file name and path center-aligned so let's go back so we've got to insert again this demo and set in a footer okay so we have inserted the header we are now inserting a footer so it should be center-aligned so far name plus path center-aligned so field again you can hit F on your keyboard and you go to fire Farnum so the beginning of the the letter that starts the word that you're looking for you can just hit it on the keyboard and do give an idea where that one is instead of scrolling up and down so in this case I want to add found name and then don't forget they have told us to add the path as well so select path there and say okay so there you go you have that so again guys you must be very careful in fact let me just go back here okay I'll come back here there's a point I wanted to make mention but nevertheless we need to remove here type here again remove this one this side and you remove need to move this this side please avoid reposition this manually don't do that okay because we put this one in the one I mean remember the blank three columns we had left center and right verify make sure that all the alignments match the page margins okay so you can go ahead and do that so you just double click here and the alignment that you want here you want to make sure that the alignment this one is match in the left margin and this one also for the number is match in the right margin so it's within the boundary so that's perfect next thing you want to do is that no other text is included in the header or footer again this is what I was talking about guys where you have type text here you don't need to leave this that in there so here they stated that you didn't need need to leave that text there so you just need to remove it and make sure that the headers and footers are displayed on all pages and we know that's why their headers and footers that will be displayed on all pages okay so if you click there this is page 1 if you go to page 2 you'll find the same concept the same layout all right okay so next thing that we're supposed to do is step 4 create the following paragraph styles okay so how's the specification and then these are the different star names that we have Newsted dog new subtitle new subtitle new spotty noon step oh and then these are the attributes of these styles that we are going to be using ok so we just need to create this Taos right now okay so let's start with news title so what I'm going to do maybe is to can I don't if I can run this pages side by side with my okay you know it is well I didn't like switching in between windows ok so to create a new style just go here ok this this arrow here click there and create a new style and then this one we're going to call it as what was it supposed to be news title let me just verify that okay so we have news your state your new subtitle ok so everything is news and then site title subtitle subhead Dean beaudion table so this is going to be news not BBC news news and then I don't know if it's underscore using or what that means verify it's not under scroll so a new state o news type though and then click on modify okay so it is based on the normal style and then we're going to modify that so let's look at the attributes so we have San serif and remember I talked about what the San serif font is in the other videos so if you're not sure just watch the videos document production begin with the 2014 Peppa not 2014-2015 Peppa I did talk about what a serif font ease and 2016 pepper I did talk about what it says cell phone is and what a sans-serif font is and I did give examples of how you be able to identify these different types of fonts okay so you have sensory font 26 points and then center-aligned it's both it's single line spacing as well as no space before paragraph and no space after paragraph so very important so let's go back here and modify that so we have 26 points okay as the size and then it's it wouldn't be a Sun cell phone so you look for a sensory font I'm gonna go for Calibri okay this one and then next in I'll go for let's see supposed to be center-aligned and we say it's supposed to be bold and also will this single line spacing so let's go to lines where you can get line spacing so go to format and then paragraph and then line spacing is single spacing this is part of spacing before it's zero and after is zero exactly what who are told in the question paper so this now is ready so just click here and here but the other thing guys that you need to notice is that you check that this tau automatically changes the layout for this okay so what you need to do to avoid this douse change every time you create this now it changes this what you need to do is to is to take your cursor at the end of the document so at the end of the document put your keys are there and hit Enter key once I'll come and show you what else you can do and to remove this space that we've added it shouldn't be that space just in case of anything okay but just so much that you don't have this tau e stuff that you create temporal in with the appearance of the text like you saw previously you need to take the cursor at the end of the document and then you can go ahead and start creating your own styles now so let's create another style this one we're going to create new style or news subtitle news and then sub title okay new subtitle go to modify and then this look at the attributes sans-serif 16 right italic single then 0 0 so let's go ahead so it's supposed to be Sun serif I'll go ahead again with Calibri and then it's supposed to be 16 okay so 16 and then it's supposed to be right right aligned this one and then it's supposed to be talaq that one and then what I was single line spacing okay so let's go back here paragraph and single line space in here and then before space is supposed to be zero as well and after space of of space here so that is perfectly fine as well so this now is also ready so what I'm gonna do is now again create a new cell so you see that the cursor has been affected by this now but it has not yet affected in that text so here we can go ahead and play around with the other text so let's go to another star so so then News News subheading is then the other style new subheading click on modify let's check the attributes supposed to be sensitive 16 centreboard and aligned and then single and then this other one now has a space after the paragraph as 12 points so that should be taken into consideration so let's that suppose besides serif so I'll select Calabria again and 16 so its own 16 it's supposed to be center-aligned and then it's supposed to be bold and underlined so not italic but underlined and then single spacing so let's go here paragraph and then single and then space after it's supposed to be 12 okay 12 points okay so say okay and say okay okay next one is supposed to be news body its serif 12 points just fight no enhancement line spacing single it also just has space of test of points so let's go back there let's go to this one then greatest ow and then this da is called news body okay modify and then it's supposed to be a cell phone so I'm going to pick on Times New Roman and supposed to be 12 points and it's supposed to be it's not supposed to be bought so there's no enhancements or remove remove underline okay like that and then then let's see okay so okay yeah this one is is is okay so we just need to make sure that it is justified not Center so let's just fight this is just Phi okay and let's go to paragraph and then space after supposed to be 12 so it's is relative fine and it's supposed to be line spacing single and so that's okay and that's okay so if at all I have made a mistake you guys can go ahead and correct that but I I suppose there's no mistake okay so let's go create another style this one is the new step off serif 12 left none single zero zero so this one's the easy one to create so modify okay so it's supposed to be serif font so it's on Times New Roman and supposed to be 12 which is perfectly then okay and then supposed to be left aligned and then supposed to have no enhancements which is perfectly okay we're supposed to go and check line spacing is supposed to be single and then there shouldn't be a space after paragraph supposed to be single so that is perfect as well right so this is I don't know if I need to modify this one guys that we didn't give it the name let's go ahead dead chick we didn't give it the name okay as you can see doesn't have name so let's give it name as style new step oh okay sorry for that should have a name so this is new step Oh so let's just go ahead and verify that it is as it's supposed to be a serif font twelve left aligned no enhancement supposed to be zero zero spacing before and after and also single line spacing so this is perfectly fine so there you go now you have so we have created our Styles so there are five of them we have new style new step Oh new subtitle new subtitle and news body and these guys are arranged in some sort of order okay so now the question tells us to place evidence okay so placing your evidence documents screenshots to allow or to show all the settings for the news subheading style so you go to this new subheadings down new subheading is this one go to modify okay now the the common mistake that students would make is to get a screenshot of this and then forget about it like this is the city that ID but remember where there are also other state cities that we did like paragraph settings so go to paragraph setting you'll notice that this is also this window so these two windows are the ones that actually show that your settings are done so you get both of them in one set like that you can get them as individual windows you get this one then come back again open this one then go to format to go to paragraph and again get that it's still fine but I love it to do it in a simple way okay so let's get that and let's paste that into evidence number four so just say okay okay and go to evidence for I don't know if we did skip evidence number three so let's go back here guys because I notice evidence number three we said found saved showing the file type okay so let's just go back to the question evidence three okay see I will skip this one guys I'm sorry about that okay so it says evidence replacing your evidence document and screenshots to show this far that sure that this four has been saved and so make sure that they the evidence of file type as well okay so let's go back to our file name remember the father in question that we saved is the one that has got the name newsletter and want to show it in order that it is absolutely saved okay so this is the file that we want to show that the saved so what I'm gonna do is just to maximize the type side so that we show that it is a wet document format okay so because you notice the initial one the one that said the one that draft was a rich text format but the one which you just saved the end was a Word document so I'm gonna get the screenshot of this just get it from there if I want to show that it has been saved in my work area so this is the file in question I just selected it alternatively I can just get this and rectangle and select it like that to show that hey the file you are looking for is this one and I can even emphasize it by saying like that this is how powerful this software is guy is like short you can do all these other things just to emphasize that your file or this is what you want to show the examiner so I'm gonna pass this in my evidence document right here okay so that is that is that okay perfect okay so next thing that we're supposed to do is step number okay so we gotten with Dan step number four so we're going now to go at the step of the documents step number five okay so enter the title Tawana Adventures newsletter so I'm just gonna copy these guys and I'm feeling lazy to type so I'm just going to copy this and then go back at the start of the document so scroll down okay so I'll remove the space that they put there at the end so just backspace on your keyboard to remove the space and then let's go back here at instead of the document is there I'll hit Enter key take the cursor there but instead of the document hit Enter key once and then go up there and paste my title okay so let's go back again so apply the new style style to this text so let's apply this data so highlight it double click or I don't if it's double click or triple click but you can highlight by that so get the title so that's the title there and next in we apply that so below the title add the subtitle first draft by so I'm just gonna get this as well again I don't want to set type in a lot of stuff so just below this title put the cursor at the end there hit Enter key and paste it there and then report by and then they say we put our name so report by cursor Evans okay so let's go there apply apply the news BAM where is it here step eight apply the new subtitle style to this text okay so let's go back here and highlight it and apply news subtitle okay next step step nine apply the body rather apply the news body style to the rest of the document okay news bud stop the rest of the document so select this the whole lot of it and go all the way to the end of that and apply as body okay perfect okay so just make sure that everything has been selected and you apply body now for some reason body is showing me that I have let me just check that the thin is 12 okay yeah the font size is 12 for some reason is showing me now so it's 10 it's because the first part here didn't have the first part a is 12 and the other part is 10 so what you can do in this case is just select these parts which are seemingly smaller up to here and apply the body and see that they become bigger and you can also select this let me see if there's any other thing so this one is 12 this one is 12 guys I'm checking when I click on the paragraph and then I check around here to see if the body style is applied perfectly so this is what you get me so guys please be careful when you apply this now sometimes this text can be like for example this paragraph can be in a different font size and this one can be in a different font size when you apply the style and it not always will it change the entire body and to follow the style sheet that you set but you need to verify that everything is actually bearing the style that you you put there so this is very important guys it's an eye-opener here some of you who be coming back to say hey why isn't my text not change in here why is it still small why is it inconsistent and stuff like that so this is one way you can overcome that that weakness okay so let's go to so we've done step 9 step 10 change the page layout so that all the text after the first paragraph is in two columns of equal width of one point five centimeters spacing between them guys this is very important now we know that we're supposed to put this into two columns the West kind of mistake that you can make is to actually let's say this UK Center is not fitting the body give it body okay I know this the tight subheadings were going to give them and you subheading mister so yeah so saying the will get that is a West kind of mistake that you can make you guys is when you highlight this text and include it into the splitting of the columns now we are told that the splitting of the columns should exist only after the first paragraph so where is the first paragraph if you want to know where the first paragraph ends just click on this one here it says show paragraph marks and other them formatting so it shows you where the paragraph ends so the paragraph ends here where this symbol is okay so the ticks after the first paragraph begins here so you highlight all this all the way to the last one guys please this is very important all the way to the last one and then you need to go on layout and then on columns and then more columns and then select two columns and spacing in this case is supposed to be 1.5 okay so that is perfect okay so we are done so you check that the text that has been broken down into multiple columns is the text after the first paragraph and the first paragraph remains intact guys I repeat this is very important the first paragraph should remain intact and the second the second paragraph or beginning of the second paragraph or the text that follows is the one that's supposed to be broken down into multiple columns in this case two columns and then we should only just put we should just put only 1.5 spacing now a part of spacing is this one from this paragraph like from here ok to here the spacing in between here is 1.5 okay that's what paragraph spacing means right so I love to take them guys just to really make sure that you get this constant that there's a sources of where the common mistakes that students make in the exam and you lose this simple max imagine this is just to max here and if you keep on losing to max – max – max by the time your dad would throw out the paper you'd have lost maybe 20 Max and those in 20 bucks in the 9ct paper guys it's still way too many max to lose in a 9ct paper you need every single mark it counts you may find that this is the bond the the the border between and esta and an air was just that single Mac that you lost in an exam and it hurts guys double click on this other one as well and then scroll down and hold ctrl key double click on this one please don't scroll down while holding ctrl key otherwise you zoom out and zoom in all right so hold ctrl key again double click this one okay so this should be the last subtitle subheading rather so is this content the should be seven of them so one two three four five six and seven okay so let's apply now this douse up hidden so subheading is this one here yeah new sub hidden okay perfect perfect this is perfect it's coming out well we'll see how it's going to be at the end step number is after a text activities to our centers so what you need to do this one you can just search for the text AXI activities to our sentence so hot ctrl key stop F on your keyboard and that opens the navigation you want to search so one to search for activities activities activities for our centers I hope that was the text let's see activities to our centers not for our centers to our sentence okay so type to our centers okay there you go so it says activities to our centers and this is the text there okay so it's just one results so which means that this is the one so put your cursor at is blinking it's text in automatically the formatting of the entire column okay so the column has that formatting and it takes in that so that you should always be mindful okay so I'm gonna have to press the table and you see that the table automatically is within the boundaries of the imagine okay you see that the table is within the boundaries of the imagine so this is perfect now let's do some formatting to this demo I'm sure so delete the Fed delete the third column with the heading rating from the table so let's go here and we need to delete this table where with the squalor where the written in so says select we're written is and then when you see a black arrow pointing down at that click to select that row and hit delete key or if you want just right-click and then sorry about that let's do it one more time select it and then let's try it or for some reason I'm not able to select and delete so I'm just going to tap Delete key on the keyboard and let's see okay I don't know why I'm not able to select it and then delete it let me just undo it I need to to select the entire column okay let's say delete now this will delete the table click there delete columns okay let's delete columns this one should delete it yeah I was looking for that so you need to let me just undo it for the sake of those that didn't see what I did but you can always rewind the video and so what I did was select this okay and then go here delete and then select delete columns and then delete columns and then okay that should be fine right so I've deleted the columns okay so I'm gonna just trying to emphasize previously in step number 12 how that you need to have your table fit within the column width of the text and then also you need to delete the third column with a heading rating from the table we just did that I think that was the last thing that we did I said you needed first of all to select the table that you want to to delete the stuff there the column on and stuff then you go on delete and then delete columns okay so if it is just a roll then you can delete row if it's the whole table you can say delete table okay so that was that okay so next step was supposed to be step 14 make sure that the new step of style is applied to column two and three okay so if you go back to column two column two is this one so two and three is this one okay so we apply from this column we are supposed to apply the new let's see get that we apply new stable style okay so new stable style miss this one so plate and then next we're supposed to let's go back okay we've applied this one then text in columns two and three displays on one line okay which means we shouldn't have text wrapping so notice that activity tank activity tank is and so to make sure that it is sure that I can access so what I'm what I want to do is that when I select the columns like that then I click on right click but in this case I'll click on the menu button on Matt and this is the menu that I wanted when you right click this is the manor should come up and then again select made sales so nevertheless guys I'm sorry but new guys I'm sure you right click button will be working and all for me just I don't know I'm just here so let me get back here so we're supposed to make it at the table look like this okay so format the table to look like this so we need to change the direction of
